Project Background & Client Needs

The client runs a chain of billiard clubs. Premium cues are expensive and wear out fast; deposit-based rentals require staff registration, create friction at peak hours and invite disputes. The clubs also wanted cue rental tied into membership so casual players could easily access quality cues, with usage data guiding purchasing. They needed a self-service shared-cue system covering pickup, billing, sanitization and return — replicable quickly across new locations.

Shared Billiard Cue Mini-Program Solution Overview

Juhui Software built an IoT solution for billiard halls comprising a WeChat mini program, smart cue cabinets with intelligent cue locks, and a store operations console. Players scan a QR code at the table or cabinet to take a cue; the system bills by the minute and settles automatically when the cue is returned. The solution integrates deeply with the club's membership system — hourly packages, points redemption, member pricing — while sanitizer cabinets log every sterilization cycle. The console tracks utilization, damage rates and time-of-day distribution to guide purchasing and staffing.

Core Feature Modules

  • Scan-to-rent with minute billing — precise per-minute charging, auto-settled on return with transparent statements.
  • Smart cue cabinet management — slots detect cue presence, logging every pickup and return.
  • Membership package linkage — hourly bundles, member pricing and points convert walk-ins into members.
  • Automated sanitization records — every sterilization cycle is timestamped and traceable.
  • Utilization & damage analytics — frequency and damage by cue type and time slot guide smart purchasing.
  • Multi-store operations — one console manages the chain with rapid config replication.

Technical Architecture Highlights

Each cue carries a lightweight smart lock with built-in battery and Bluetooth, working with sensing coils in the cabinet to confirm borrow and return events. Cabinets connect over 4G and cache transactions during outages, reconciling automatically on reconnect. The mini program integrates WeChat Pay and the membership system, with a billing engine stacking per-minute rates, price caps and package deductions; an event-stream layer builds a full lifecycle record per cue.

Launch Results & Data

Since launch, cue rental runs entirely on minute-based billing with automatic settlement, cutting front-desk registration labor to nearly zero. Membership linkage lifted walk-in-to-member conversion noticeably, with package spending rising steadily. Automated sanitization logs helped stores pass hygiene inspections and become a regional benchmark. Console data shows premium cue utilization up significantly with a traceable damage-claim process; the client optimized its purchasing mix and rolled the system out to newly opened locations.
