Smart Locker System for Bank Supply Management: Background & Client Needs

Bank branches manage large volumes of office supplies, business vouchers and equipment consumables daily. Manual registration of claims is slow, error-prone and delays approval flows. Agricultural Bank of China (ABC) wanted to modernize branch supply management with smart hardware: staff scan to unlock and claim items, with ledgers recorded automatically and integration into the bank's internal approval system. Drawing on integrated hardware-software-cloud delivery, Juhui Software built this smart locker system for ABC.

Solution Overview: A Branch-Level Smart Supply Management System

The solution is a custom smart storage cabinet system for internal bank scenarios, comprising three parts: a staff mini-program (scan to unlock, claim requests), the smart cabinet device end (electronic locks and sensors), and a cloud console (supply ledger, permissions and inventory). Built to financial-grade security standards and connected to the bank's approval workflow, it digitizes the full chain from claim and approval to inventory checks.

• Scan-to-claim: staff scan the cabinet QR code, pass identity verification and unlock — replacing paper registration.
• Department-level access control: unlock rights and claimable item ranges are configured by department and role; sensitive items require secondary authorization.
• Automatic ledger: every claim writes a real-time electronic ledger entry that feeds the internal approval flow, fully auditable.
• Low-stock alerts: inventory below thresholds triggers alerts and replenishment workflows.
• Periodic inventory reports: cycle-count and claim-statistics reports support fine-grained branch supply management.

Technical Architecture Highlights

Cabinets connect to the cloud over 4G using the MQTT protocol for unlock commands and slot status; offline caching with automatic reconciliation on reconnect accommodates varied branch networks. The system follows financial-grade security standards: data in transit is encrypted, and all operations leave audit trails. Integration with the bank's internal approval system syncs staff identity and organizational data, keeping the permission model aligned with the bank's role hierarchy.

Results & Data After Launch

Deployed across ABC branches, the system made supply claiming literally scan-and-go: ledger registration is fully automatic — one entry per claim — while department-level access control tightened management of sensitive equipment, and over-quota claims flow automatically into approvals via the internal system integration. Low-stock alerts eliminated supply interruptions, and periodic inventory reports drastically cut the workload of branch stocktaking. Manual registration errors dropped to essentially zero, delivering a marked improvement in branch supply management efficiency.
